ABOUT THE TEAM
Reporting to the Senior Managing Director, Global Head of Legal, this position will provide strategic support and drive improvements to the operational excellence of the Legal Affairs team. This role will supervise a small team of legal operations coordinators and work closely with the Legal Affairs team and other senior stakeholders in PSP’s business to deliver this vision.
You must have excellent communication skills, have familiarity with the legal technology landscape, be intellectually curious, highly motivated and self-confident, as you will be engaging directly with internal business partners, external counsel and stakeholders. Strong business acumen, good judgment and pragmatism are also a must in order to succeed in this role.
ABOUT YOUR ROLE
As Senior Director, Legal Operations, you’ll be responsible for the following areas:
Strategic planning and delivery:
Develop and lead strategic and operational planning processes for Legal Affairs, including annual business planning, annual scorecard development and tracking, employee engagement action planning, and headcount planning
Regular reporting to the Global Head of Legal and Legal Affairs leadership team on the team’s progress in achieving its strategic objectives
Operational Excellence:
Optimize operational effectiveness by identifying opportunities for greater efficiency and implementing practices, tools and technology to improve workflows and processes
Provide reporting to the Legal Affairs leadership team on team utilization and tracking of key operational metrics to facilitate senior decision making for Legal Affairs (to include financial and non-financial metrics)
Provide reporting to PSP internal stakeholders concerning their use of Legal Affairs, external law firms and key legal trends/themes impacting their business area
Support to lawyers in coordination of workload allocation through monitoring of activity levels and tracking of work intake
Support long term department capacity planning regarding resource needs and allocation
Supervise team of legal operations coordinator
Technology and Process Innovation:
In partnership with other internal stakeholders, deliver Legal Affairs’ technology strategy and ensure the successful implementation and adoption of technological solutions
Ongoing management of Legal Affairs’ existing technology solutions, including document management, AI tools, ebilling, file tracking, workflow tools and knowledge management repository and proactive management of technology licenses and subscriptions
Ongoing monitoring and assessment of Legal Affairs’ existing technology infrastructure with the aim of identifying and making recommendations on new tools, applications and systems to streamline new or existing practices and ensure adequate technology training and education is available for Legal Affairs staff
Law firm management:
Oversee the organization and monitoring of law firm support and spend, including creating of tailored reports and analytics to propose areas for continuous improvement and cost saving opportunities
Manage external law firm relationships, interacting with senior level management, and their reporting to PSP with rigorous focus on performance indicators, service level expectations, PSP compliance with any applicable legal and regulatory requirements, risk management, and diversity, equity and inclusion
Oversee the update and maintenance of all written guidance to law firms on how to act for PSP
Data Analytics, Knowledge management and Education:
Develop knowledge management practices and facilitate team wide access to Legal Affairs knowledge base
Develop analytics and AI strategy and roadmap in partnership with other internal stakeholders
Coordinate and facilitate internal and external training, education and professional development of Legal Affairs team members
Coordinate and facilitate education and training opportunities by Legal Affairs team members to asset classes and business partners
WHAT YOU’LL NEED
A university degree
At least twelve (12) years of relevant experience working in a legal department, law firm or other operational management role
Ability to navigate a fast-paced environment with a high-level of autonomy
Ability to work collaboratively, cultivating meaningful relationships with key stakeholders
Experience working with senior management
Well organized, attentive to detail and capacity to adapt to changing priorities
Strong analytical thinker, results-oriented with strong written and verbal and interpersonal communication skills. The ability to create and present PowerPoint will be useful
Ethical with professional integrity
Proficiency in English and French (or willingness to learn) (frequent interactions in English with PSP employees based in our offices in Hong Kong, London and New York, and interactions in French with employees in our local offices in Montreal and Ottawa)
