Job Summary
Aurora Project Solutions Inc. is a Canmore-based project management and municipal advisory firm delivering project leadership across infrastructure, disaster recovery, risk management, and construction management for First Nations, municipalities, and other organizations. We are hiring a Project Coordinator to support the planning and delivery of projects across our portfolio. The position is a hybrid work-from-home opportunity that may be based in Canmore, Cochrane, Calgary or surrounding areas.
Working alongside our project managers, you will provide hands-on support through the full project lifecycle, combining project coordination, procurement support, fieldwork and construction inspection, contract administration, records management, and project closeout. The work is varied and suits someone organized, practical, and comfortable working independently who wants to build broad project management and construction experience.
Responsibilities
Support projects from initiation through construction and closeout
Coordinate consultants, contractors, clients, meetings, schedules, action items, and deliverables
Track project budgets, schedules, risks, decisions, and outstanding items
Prepare meeting minutes, project updates, correspondence, and project documentation
Review drawings, specifications, contracts, and other project information
Conduct site visits and construction inspections for residential, civil, institutional, and other projects, and prepare site visit reports and photo documentation
Document construction progress, deficiencies, field conditions, and potential issues
Review work for general conformance with drawings, specifications, contracts, and applicable requirements
Coordinate construction completion, deficiency, warranty, and final acceptance inspections
Maintain awareness of site safety during inspections and site visits
Escalate technical, contractual, or construction issues to the appropriate Project Manager or professional
Assist with scopes of work, RFQs, RFPs, tenders, evaluations, and contract award
Support contract administration, including work authorization, change management, invoices, deliverables, and contractor and consultant coordination
Establish and maintain organized project records and filing systems
Coordinate record drawings, warranties, O&M information, approvals, deficiencies, and other closeout requirements
Coordinate with funding agencies and other governing bodies as required
Qualifications
Background in civil engineering technology, construction management, architectural technology, project management, building construction, or a related field. Aurora is flexible on the specific education and experience of the successful candidate
Comfortable reading construction drawings and specifications
Proficient with common office and project management software
Valid driver’s licence and the ability to travel to project sites
Ability to walk active construction sites, including uneven terrain, and to wear required PPE including hard hat, safety boots, and high-visibility clothing
Clear, professional communication with clients, contractors, consultants, and team members
Sound judgment about what can be handled independently and when an issue should be escalated
Ability to work effectively across diverse client and community contexts, including First Nations governance structures
Experience in any of the following is an asset: project coordination or construction management; residential or institutional construction; municipal infrastructure or subdivision construction; construction inspection or contract administration; procurement and tendering; work with municipalities, First Nations, or other public-sector organizations.
Work Location and Travel
Full time at 35 hours per week, primarily work from home, with regular travel to project sites, client locations, and in-person team meetings. The preferred candidate is located in the Bow Valley, west Calgary, or a community between Calgary and the Bow Valley, allowing convenient access to projects throughout the region. Occasional travel to other project locations in Alberta may be required.
