Job description:
The Marine Agent, Team Lead – is an experienced Agent with additional responsibilities. They continue to act as agents by being responsible for the coordination of all agencies, husbandry, and administrative functions associated with individual vessel calls assigned to the Port Office, but additionally they assist in the planning and coordination, training, and documentation of vessels and related responsibilities.
Key Responsibilities
including but not limited to
Team Lead functions:
Planning the workforce based on vessel schedules.
Monitor and report on Key Performance Indicators.
Assist in developing training programs.
Assist in the development and maintenance of policies, processes and procedures.
Collaborate in commercial activities and bring forth opportunities for the department.
Administrative functions:
Preparation of proforma disbursement accounts (cost estimates for the vessel while in port)
Entry and update of information entered in company system, ensuring data accuracy (ports, terminals, Principals, users, suppliers’ tariffs, etc.)
Allocation of invoices per port call in company system
Act as a liaison between operations and disbursement accounting department
Approve invoices for payment
Proper filing of pre-arrival and transit notices, obtaining custom’s clearance
Prepare and secure cargo documentation, i.e. SOF, NOR, B/L, etc.
Agent functions:
Order pilots and linesmen
Coordinate and update all parties concerning all activities related to vessel and its operations
Vessel scheduling & emergency contact (24hr on call while in port; rotational basis).
Overseeing and coordinating all activities for vessels while in port, including boarding and husbanding vessels (all necessary arrangements and co-ordination pre and post vessel’s arrival to ensure a smooth and effective port call)
Work with principals, terminal operators, stevedores, port authorities, government officials and other parties to ensure safe and efficient practices.
Act as a liaison between the Ship’s Master/Crew with government authorities, local pilots, terminal operators, port authorities, stevedores, etc.
Assist with crew-change and crew-transportation (use of company van)
Assist in the delivery of owners’ items to vessel
Qualifications
5+ years experience in a relevant role
Local experience in the maritime shipping industry is required
Fluency in English (written and spoken); additional languages an asset
Skills & Knowledge:
High level time management, communication and organizational skills .
Adhere to and promote health and safety guidelines in the workplace
Have working knowledge of Electronic Data Interfacing procedures.
Intermediate level proficiency in Microsoft Office Suite with the aptitude to learn new software.
Working Conditions:
Works outside in conditions of both hot and cold temperatures as well as inside in an office environment. Must be able to crouch and stoop to get into areas with restricted headroom, to climb ladders and to lift and carry 50-75 lbs. Exposed to odors, dust, dirt, mechanical hazards, high noise levels and potentially hazardous equipment. Ability to board vessels in rough weather and sea conditions. Long hours, ability to travel, weekend duties and 24-hour “on-call” status are essential job requirements. Must comply with all work rules, including those that pertain to safety and health.
