About This Role
We are in search of an experienced Legal Assistant to join our Business Law team, specifically to support the Commercial Property group with their administrative functions. This position will bolster a dynamic group of Paralegals and Lawyers working with a high volume of fast-paced work.
The ideal candidate is highly organized, detail-oriented, and excel at building relationships and trust. If you are able to anticipate needs, take initiative, and are eager to work in a collaborative environment, you will thrive in this position.
This is a full-time, permanent, fully in-office position in Dartmouth, Nova Scotia, reporting to the Business Operations Manager of the Business Law team. Though the work will be entirely in English, it is always considered an asset if candidates understand or can communicate in additional languages.
Key Responsibilities
Client Communication & Coordination:
• Conduct client intake, complete conflict searches, and open new client files.
• Act as a point of contact for clients, answer client inquiries, and provide updates in a timely and professional manner.
• Schedule and coordinate client meetings.
• Maintain and update relevant schedules and agendas.
Document Preparation & Management:
• Process, update, and track documents, including sharing, access, and storage across multiple locations in collaboration with internal and external clients.
• Draft routine correspondence, including forms, for Lawyer and Paralegal review.
• Maintain up-to-date and accurate paper and electronic files using a document management system.
Workflow & Process:
• Complete post-transaction final reports for multiple lenders.
• Order tax certificates and complete Registry of Joint Stock Companies and PropertyOnline title searches.
• Complete work assignments as directed or assigned by the Business Operations Manager.
• Provide coverage for other Legal Assistants as required.
• Adapt to new duties as work processes and responsibilities change to improve client service and increase efficiency within the team.
Administrative Support:
• Manage and update pre-bills in accordance with Lawyer/Paralegal instruction.
• Complete accounting-related tasks such as check requests and electronic funds transfer forms.
• Review, prioritize, and process incoming and outgoing correspondence, including mail, couriers, and faxes.
Culture & Engagement:
• Participate in, and contribute to training initiatives within the practice area, including attendance of refresher seminars, workshops, and mentorship sessions.
• Support diversity, equity, inclusion, and reconciliation initiatives within the Firm.
• Contribute to the cultivation of a positive environment and promote respectful communication with internal and external stakeholders.
What You Bring
• Experience: Minimum of 1-year experience in Business Law as a Legal Assistant, preferably within Commercial Property or similar deadline-driven practice area, and diploma in Legal Assistance, Paralegal Studies, or Business Administration/Management. Prior experience working in Nova Scotia considered an asset.
• Skills: Exceptional organization, attention to detail, time management, and communication skills, with the ability to handle multiple priorities. Excellent relationship and trust building skills with the ability to quickly adapt to various working styles.
• Mindset: Critical thinker, problem solver, and team player with a positive attitude excited to contribute to a collaborative culture.
• Tech Proficiency: Minimum of 6 months’ experience using ProLaw practice management software. Adept at using additional software such as Outlook and Microsoft Office, with the ability to learn new tools quickly. Prior experience navigating PropertyOnline and Registry of Joint Stock Companies considered an asset.

• Compensation: Annual salary will range from $48,000 – $63,000 depending on the candidate’s level of experience with compensation reviews conducted annually.
