OPPORTUNITY OVERVIEW
We are looking for an experienced full-time Front Desk Supervisor to join our team in a permanent capacity. Responsibilities include overseeing all functions of the front desk team for night shifts during the week, in the absence of the manager, which includes training the team, monitoring and controlling administrative responsibilities, and providing clear and concise communications. Additionally, the Front Desk Supervisor will fulfill personal and professional requests for members and guests, including membership information, dining, reservations, entertainment and travel arrangements, information about local attractions, and special events and functions.
Job Description
RESPONSIBILITIES
Main point of contact for all health and safety issues that occur during the evening shift.
Document and report any member or staff concern during the shift, including service issues, non-compliance with bylaws and house rules.
Perform hourly walkthroughs of the building / rooms ensuring that all events and services are running smoothly, stepping in to help teams as needed.
Interact with members daily, listen and respond to all situations to meet member’s expectations and guarantee satisfaction in relation to the service provided in the
Club and in accordance with Club standards.
Main point of contact for resolving member complaints or incidents such as intoxicated guests.
Identify and participate in finding solutions to continuously improve the front desk systems and controls.
Complete checklist for the evening supervisor shift.
In the absence of the Manager, control and coordinate guest services and activities through the front desk team.
Review the master events calendar weekly for upcoming events and ensure the team has all information they need.
In the absence of the Manager, lead department meetings with the team.
Provide detailed tours of the Club to prospective members if needed.
Review all materials concerning arrival schedules for members, room guests., reciprocal members, VIPs or any host or guest arriving for an event.
Review daily events and function sheets; communicate any concerns to department heads.
Welcome members and guests with an emphasis on fulfilling requests, following special handling instructions, and adhering to established policies and procedures.
Be familiar with and accurately quote room rates and availability for current and future dates.
Properly handle room keys according to department policies and procedures.
Ensure all appropriate departments are informed of member and or guests’ special needs and requests.
Assist in escorting members or guests to their events or rooms as requested.
Assist in maintaining and organizing lost and found of all items returned to the front desk.
Check in with Overnight Security to communicate any potential security issues of incidents.
Perform all other duties as required.
REQUIRED EXPERIENCE AND QUALIFICATIONS
Must speak English.
Minimum 1 year experience in a supervisory role.
At least 3 years of related experience in hospitality.
Proven ability to handle stressful situations and resolve problems.
Must have valid First Aid Level 1 Certification.
Corporate Security training is preferred.
Must have Serving It Right Certification.
Strong attention to detail and the ability to handle multiple tasks.
Excellent communication and organizational skills.
Experience working in an environment providing a high level of customer service
to guests of high social standing with discretion and professionalism.
Ability to work with management staff and other employees in a professional
manner.
