We are actively seeking an experienced and efficient Administrative Manager to join our leadership team. This is a full time permanent position. The hourly wage is $50.48 per hour for 32-37 hours per week.
Key Responsibilities:
• Direct and supervise administrative staff, ensuring effective coordination of office operations and project-related administrative functions
• Develop and enforce administrative policies and regulatory compliance procedures to maintain adherence to applicable laws and industry requirements
• Establish work priorities, allocate responsibilities, and monitor progress to ensure operational efficiency and timely completion of administrative tasks
• Oversee budgeting, expense tracking, and financial administrative processes, including responsibility for office budget and cost control measures
• Conduct regular site visits to monitor projects progress, coordinate with clients, suppliers, subcontractors and project teams, and ensure project activities are competed according to schedule and requirements.
• Prepare reports and provide recommendations to senior management to support informed decision-making and continuous improvement of operations
• Lead recruitment activities, including hiring decisions, onboarding, and performance management of administrative staff
• Direct and oversee the preparation and management of contracts, permits, and official documentation related to construction projects
• Act as a primary liaison between management, clients, contractors, and subcontractors to resolve operational and administrative issues effectively.
• Exercise independent judgment in resolving operational issues and improving administrative processes
• Interview, hire and train new employees
Position Requirements:
• Minimum 5 years of experience in relevant positions
• Excellent leadership, communication, and organizational skills.
• Proven experience coordinating and tracking municipal permits for reconstruction and renovation projects, insuring compliance with local regulation and approval requirements.
• Ability to handle complex operational challenges and external business factors.
• Experience working with contractors and management teams.
• Strong attention to detail
• Able to work in a fast-paced environment
• Secondary School Diploma
• Ability to communicate in Arabic, French, and Spanish an asset.
