About the Position:
The Payroll & Benefits Coordinator is responsible for managing the day-to-day payroll processing and benefits administration for all Mount Pleasant Group employees. This includes overseeing payroll and benefits processes for CMS employees as well as both unionized and non-unionized MPGC employees. The role ensures accurate and timely payroll processing while maintaining compliance with federal, provincial, and organizational regulations. Additionally, the Coordinator serves as a key liaison between employees, management, and external benefits providers, addressing payroll and benefits-related inquiries, resolving discrepancies, and facilitating seamless administration of compensation and benefits programs. This position plays a vital role in maintaining data integrity, enhancing payroll efficiency, and supporting employee well-being through effective benefits management. Key responsibilities include processing payroll adjustments, inputting and managing timesheets, and administering garnishments and other payroll-related deductions in compliance with legislative and organizational policies.
The successful candidate will be required to:
Payroll Processing
Process biweekly payroll for salaried, hourly, and contract employees across both unionized and non-unionized employee groups in MPGC and CMS, ensuring accuracy and compliance with employment standards.
Maintain and update payroll records, including new hires, terminations, pay adjustments, overtime, vacation pay, and statutory holiday calculations.
Ensure timely and accurate processing of payroll deductions such as income tax, CPP, EI, union dues, benefits premiums, and voluntary contributions.
Administer manual payroll transactions such as reimbursements, employee loans, and benefit top-ups for Workplace Accident (WA) and Short-Term Disability (STD) claims.
Process and monitor wage garnishments, child support, and other required deductions in compliance with court orders and legal requirements.
Issue and amend Records of Employment (ROEs) through ADP and Service Canada, ensuring accurate data submission for employee claims.
Reconcile payroll tax submissions (PD7A) quarterly and validate T4s, ensuring compliance with year-end reporting obligations.
Ensure payroll data integrity across ADP, NAV, RBC, and Canada Life systems, identifying and resolving discrepancies promptly.
Employee & Manager Support
Provide guidance to managers on payroll, benefits, and system processes, including coaching on time and attendance reporting.
Serve as a primary contact for employee payroll and benefits inquiries, external verification requests, and government compliance matters.
Develop and distribute clear, accessible communication regarding payroll and benefits updates to ensure transparency and understanding across the organization.
Assist with employee onboarding and offboarding processes related to payroll, benefits enrollment, and final pay processing.
Deliver training sessions or informational materials on payroll and benefits topics to enhance employee understanding.
Benefits Administration
Administer employee benefits programs, including enrollments, terminations, and updates, ensuring compliance with RBC and Canada Life policies.
Monitor pension contributions and reconcile monthly remittances, ensuring compliance with organizational policies and pension regulations.
Support benefits claims processes for WA, STD, and Long-Term Disability (LTD) cases, ensuring timely submission and follow-up with providers.
Manage annual reporting requirements, including dependent eligibility audits, taxable benefits, and boot allowances for unionized employees.
Systems, Projects & Reporting
Maintain accuracy and integrity of payroll and benefits data across multiple systems, including ADP, NAV, and RBC, supporting system upgrades and process improvements.
Assist in payroll system testing and enhancements, collaborating with IT and external vendors to improve efficiency.
Generate and analyze reports such as seniority tracking, overtime rotation, TAP hours, taxable benefits, and health tax submissions to support HR and leadership teams.
Conduct audits of payroll and benefits processes to ensure compliance with internal controls, collective agreements, and legislative requirements.
Collaborate on compliance audits and provide necessary documentation for pension, payroll, and benefits-related processes.
Other
Perform additional duties that align with the scope of the role, as directed by the Manager, Financial Reporting & Payroll.
Stay informed of changes in payroll legislation, tax regulations, and benefits policies to ensure ongoing compliance.
Qualifications:
Payroll Compliance Practitioner (PCP) certification from the National Payroll Institute (NPI).
At least three (3) years of payroll and benefits administration experience in a unionized environment.
Previous experience with ADP Workforce Now.
Diploma or Degree in Accounting, Business, Finance or related fields is an asset.
Experience with Microsoft Dynamics Navision 2016 Payroll module is an asset.
Strong understanding of payroll accounting principles and best practices.
In-depth knowledge of Canadian federal and provincial payroll legislation, including tax compliance (T4, CPP, EI, tax withholding, etc.).
Proficiency with government remittances, such as Employment Insurance (EI), Canada Pension Plan (CPP), and Provincial Health Tax.
Excellent interpersonal and communication skills, with the ability to collaborate effectively with employees and internal stakeholders.
High level of accuracy and attention to detail in managing payroll records and benefits administration.
Strong analytical and problem-solving abilities, with a focus on compliance and process efficiency.
Ability to work independently, manage multiple priorities, and meet deadlines in a fast-paced environment.
Proven ability to collaborate effectively with cross-functional teams and contribute to a positive work environment.
Demonstrated discretion and professionalism in handling confidential information.
Commitment to continuous learning and adaptability to evolving payroll and benefits practices.
Intermediate proficiency of Windows and MS Excel, PowerPoint, Word, and Outlook
