Purpose of Job:
Provide administrative support and program management for funding competitions involving Genome BC.
The New Programs Coordinator is a collaborative member of the New Programs team and works seamlessly with other members of the Sectors team and across the organization. You help administer research and innovation funding programs run by or involving Genome BC and take a lead role in executing certain programs or projects, under the direction of the New Programs Manager.

Job Description:
• Creating processes and timelines for executing programs
• Executing application and review processes, including communicating with applicants, engaging reviewers, coordinating review meetings and preparing review and results documentation
Duties may include, but are not limited to:
• Preparing, editing and sending invitation letters and non-disclosure agreements
• Arranging travel and accommodations
• Planning, scheduling and support of meetings, dinners and special events (e.g. scheduling, invitations, venue selection and booking, agenda revision, travel and accommodation booking, catering, production of meeting materials and venue lay-out planning and set-up, technical teleconference and videoconference support)
• Conducting presentations or webinars and facilitating meetings
• Processing, editing and checking application documents, with direction and input from the New Programs Manager
• Creating review documents and tools, such as templates for written reviews and panel review summaries, spreadsheets of review scores
• Coordinating with Genome BC Communications to promote funding programs (e.g., webpage, emailed funding announcements)
• Requesting, processing and recording invoices from meeting vendors, reviewers and meeting participants
• Maintaining and updating various spreadsheets/databases (e.g., Excel, CRM) to manage program costs, submissions and reviewers
• Creating reports and presentation materials for Management
• Assisting with internal review of programs, processes and tools to improve efficiency and deliver high quality programs
• Managing/prioritizing tasks for concurrent competitions
• Acting as a back-up for the New Programs Coordinator or New Programs Manager during vacations and other absences
• Providing occasional reception relief, as required
• Assisting with general administrative support to other departments, as required
Education and Experience:
• Completion of a bachelor’s degree, college diploma or other program in administration or three (3) years’ of previous administrative experience is required
• Experience and high comfort level with videoconferences and teleconference calls, and associated tools (e.g., Doodle, Zoom, WebEx, MS Teams, webcams)
• Proficiency in Microsoft Office/365 (Word, Excel, Outlook, PowerPoint, SharePoint, Teams, OneDrive etc.), Adobe Acrobat, Survey Monkey and Dropbox
• Experience in developing varied written materials (slides, correspondence, and reports)
• Excellent multi-tasking and organizational abilities
• Strong written and verbal communication skills
• Excellent interpersonal skills and the ability to collaborate across functional groups and with external stakeholders and partners
• Flexible and able to adapt to a fast-paced, rapidly changing environment
• Ability to work well under pressure and problem-solve
• Willingness to learn and follow instructions
• Committed to helping identify and support process improvements
• Experience in a research/innovation or funding role would be an asset
