Job description:
• Greet and assist patients and visitors in a professional and friendly manner.
• Answer phone calls, emails, and other correspondence promptly and professionally.
• Schedule and confirm appointments for patients with various healthcare professionals.
• Prepare, organize, and maintain patient records and files, ensuring confidentiality.
• Assist healthcare professionals with administrative tasks, including typing correspondence, reports, and medical documentation.
• Coordinate and manage office supplies and inventory, placing orders as necessary.
• Enter and update patient information into electronic health record (EHR) systems.
• Maintain accurate and up-to-date databases of patient and office information.
• Generate reports and summaries as required by management or healthcare professionals.
• Ensure the office environment is clean, organized, and professional.
• Manage the office calendar and ensure all appointments and meetings are scheduled and tracked.
• Serve as a liaison between patients, healthcare providers, and other staff members.
• Handle sensitive and confidential information with discretion.
• Assist with the setup and maintenance of office equipment, including computers, printers, and fax machines.
• Ensure a positive and welcoming experience for all patients and visitors.
• Perform other related duties as assigned by management or healthcare professionals.
Requirement:
• A post-secondary diploma or degree in Business Administration, Office Administration, Health Administration or a related field.
• Training or certification in medical office administration or healthcare management is an asset.
• Minimum of 2-3 years of experience in an administrative or clerical role.
• Proficient in using Electronic Health Record (EHR) systems, Microsoft Office Suite, and medical office software.
• Experience managing office operations, including scheduling, patient records, and staff coordination.
• Familiarity with medical terminology and handling sensitive patient information.
• Strong communication skills and organization skills
• Maintain accuracy in patient documentation, office inventory, and appointment management.
• Ability to manage a high volume of tasks while meeting deadlines.
